Hello to another week of stimulating information about e-mail marketing. My mailing list grows once again. Those of you reading my newsletter for the first time, I would like to direct your attention to the next article about why you’re receiving this newsletter and why I’m publishing it. I also continue to receive a steady flow of questions, which I’ll answer in the Q&A segment of this newsletter.

This week I will talk about sources for free articles that you could use in your own newsletter or even for support information in follow-up letters. This is excellent information for those of you who don’t have strong writing skills, because it will prove that you don’t have to write a single word and still be able to publish a very powerful e-newsletter publication.

I found some disturbing news about our personal information in the face of the Homeland Security Act. A friend gave me information about a Web site that could have access to ANYONE’S driver license information. This is very disturbing information, that I want to pass to my readers here. I have included an article concerning this today.

Q: How do you fight spam?
A: This is a very good question that I should have answered earlier. Everyone has been confronted with spam, and that is especially so for me. I receive more spam than anyone I know, because I oversee over 200 Web sites. I receive more than 300 and sometimes over 800 E-mails a day, but I see maybe six to eight spam mails a day.

I use an Outlook plug-in called SpamBayes (http://spambayes.sourceforge.net/), which is a spam filter that uses a statistical anti-spam filtering system. Plainly speaking, the spam filter learns what is spam and what is not then applies some math to sort spam out of my inbox. Best of all, it’s free!

Q: What is the best Web site you have ever created?
A: My business objective is not to create the best Web site for my clients, but to make as much money as possible with my client by using the Internet. That in mind, I have three “best” sites.

My first best is Maverick Company (http://mavcoland.com). This is one of my first clients who had become a very good friend of mine. My search engine promotion strategies used on the site generates over 10,000 unique visitors/month. I actually had to tear down parts of the site to slow down the number of contacts coming from the Web site.

My second best is a collection of Web sites owned by Harbor Breeze Cruises. 2SeeWhales.com generates over 60,000 unique visitors/month during the peak of whale watching season. In turn, the Web site generates over 60% of my client’s business. The other sites focus on different services offered by my client.

My best non-profit site is Apple Valley Rotary (http://applevalleyrotary.com). This Web site won the first two District Web site awards. I had to take a dive last year and again this year to keep the competition from looking like it was rigged.

Q: How many seminars do you do?
A: I’m one of the weird people that love to do public speaking. I had regular seminars on business Web sites at many of the local chambers, business resource centers and other functions. I haven’t done as many seminars as I used to, due to getting married in Vietnam last year. I will pick the pace up again as soon as my wife is stateside.

Q: How’s you Dad?
A: Many of you know that my Dad’s health is not very good. He suffers from many health complications related to his tour of duty in Vietnam, and things seem to be getting worse lately. He’s not dying, but he is requiring more care. He’s currently having a hard time with recent adjustments to his medication. I’ve been stretched a little thin during the past couple weeks because of this.

He came to Vietnam for my wedding and to receive acupuncture treatment, which improved his health almost immediately. We have plans to bring him back to Vietnam for further treatment.

Q: Where’s you wife?
A: My wife is currently in Hanoi, and will be going back to Saigon in a few days. My Uncle Chau, who lives in San Diego, had recently arrived in Vietnam and my wife has done a fantastic job in taking care of him. She has shown my uncle places in Hanoi that he has never seen despite visiting there many times already. My wife will be going back to Saigon

Believe it or not, there was a time that I was not a very good writer (some of you may think that I am still not a very good writer). The tech bug had bitten me early in my life, and it directly affected my abilities to write well. Other computer geeks could understand me, but hardly anyone else could. I cheated through college grammar courses by taking classes with a professor that worshiped my Dad, who was an icon at Victor Valley College during his teaching days. It was an instant “B” for me without hassling through studying proper grammar. I never thought that writing would be such an important part of my life back then.

I had become better at writing as I grew older and acquired more wisdom. I wrote more as time passed by, and developed my own writing characteristics, which made writing a lot more fun for me. Although I enjoy writing now, it can still be burdensome from time to time. Now, I think too much about what I write, and probably take longer than I have to just to write something simple. Long story short, I have just as many excuses to avoid writing articles for my newsletters and anyone else would, despite being (arguably) a better than average writer.

My old e-newsletter was a lot easier to publish than this one is, because I often used articles written by someone else. I had known Dr. Kevin Nunley (http://drnunley.com/) through the Internet, and often re-published his articles in my e-newsletter. He has some great information in his articles, and it took less than a minute to copy and paste into my e-newsletter. The cost was subscribing to his newsletter and giving him credit for writing the article. Sometimes, he would return the favor and publish one of my articles, which gave me incredible exposure to his 100,000+ readers.

You can find free sources for articles, like I have with Dr. Nunley, on any subject you can think of. Finding sources is as easy as searching Google for “free newsletter articles”. If you don’t want to wade through the thousands of sources for free articles, here’s a few links for you to look through right away:

After wading through the hundreds of free articles available, you might be thinking about why so many people do this and what do they get out of it. The catch is the write receives free exposure. You will be obligated to national and international copyright laws, which simply means that you give credit where credit is due. Make sure you state who wrote the article and their contact information they want you to provide in trade for use of their articles. That is a heck of a deal!

You don’t necessarily have to use the articles for a newsletter. You could use them as follow-up information to support what you are doing with your customers. Many of you are realtors, and you could support your information with a related article. This will give you credibility on top of your own words.

IMPORTANT INFORMATION ABOUT YOUR DRIVER LICENSE

I have recently come across some disturbing information concerning our privacy as citizens of this great country. I believe the Homeland Security Act has gone too far, and you should know what they have done in exploiting their power. Your personal information could be public knowledge now.

If you have a valid driver license, ANYONE could access this information through the National Motor Vehicle License Bureau’s Web site. I had searched for my driver license information, and am very upset with what I have found. You should see this for yourself. Q: What should I have an e-newsletter if I can’t write worth a damn and I don’t like to write in the first place?
A: You can still publish a professional and respectable newsletter without writing a single article yourself. However, it does help to write your articles. I’ll cover this more in depth in the following article.

Q: What is Plaxo, and why do I receive e-mails to update my information?
A: Plaxo is a service I use to help manage the thousands of contacts I have. Among many things, I use it to keep all of my contact information updated. The updating system is semi-automatic; whereas I press a button then Plaxo sends a contact e-mail to update your information and automatically updates it in Outlook for me. There are other Plaxo features, such as electronic greeting cards, which are helpful tools to have.

Q: What makes you different from a Web developer?
A: This question comes from someone attending my class last night. I do a whole lot more than Web development for my clients. Unlike most Web developers, my objective is not just to build a Web site and let my clients fend for themselves for other services. I want to make the Internet an effective tool for my client’s business, which requires much more knowledge and skill than just being a Web developer.

Q: What is a domain squatter?
A: A new client of mine just received some bad news regarding his domain name, which prompts this question. A domain squatter fits several descriptions of people or persons taking control of a domain name usually for immoral reasons. Most domain squatters are Web developers or Internet service providers, who register their customer’s domain names to them self rather than to their customer. The customer finds out that this has happened when they change services, and end up in a big mess in trying to get their domain back.

If you have a domain name and are unsure of whether it is being squatted on, contact me and I will check it for free.

SUCCESSFUL E-MAIL MARKETING BY USING CONTENT THAT HAS NOTHING TO DO WITH YOUR BUSINESS

If you think I’m crazy about writing on this subject, you’re probably right. Before you contact a psychiatrist to have me locked up, you should hear about my crazy idea.

Good salespeople aren’t really selling whatever products or services they receive their commission checks from. They are selling themselves. They do this by building quality relationships with their prospects. The more they work on relationship building, the better they are at closing sales. So why not tell your prospects about your favorite hobby or sport!

We are good at something other what we do for work, and are probably experts at that something too. For instance, I’m a very accomplished horseman. This is something that is quite unique for being a techie and Asian. This is also something that will make me unique among my competitors.

My clients and prospects already know what I do and what I sell, so sending a sales letter regularly could become boring and even ignored. However, sending something describing my last ride through the Mojave Narrows with links to pictures that I took during my ride is a much different story. I can access places in the Narrows easier and faster than someone could on foot or even on a motorbike. So, I can talk about and show pictures of places that my clients wouldn’t be able to see them self unless they too have a horse. Now, that’s fun to read!

For those of you who were fooled by the subject line, think about why you opened this e-mail. It worked didn’t it! I fooled you to make my point. People are more interested in you rather than what you’re selling, and it should be that way if you want to be good at sales. I do have stories and pictures of Vietnam to show you. Here they are:

The blog is a compilation of e-mails that I sent home while I was on my trip. As you see, there is nothing mentioned about my business or services in them, but I still received four referrals when I returned home. Not bad for having the time of my life!

A suggested task for you to do is to think about something fun you’ve done that you would want your friends or family to know about. Now, send e-mail to your friends, who happen to be your prospects, and tell them about your experience. The reaction you receive will be much better than a boring sales letter.

I’m a little late with this edition due to a power outage from the nasty storm that went through Southern California yesterday. My main computer took yesterday’s activity a little hard, and decided to take a break from working for a few hours. Q: What do you use to manage your mailing lists?

A: The subscription lists for my other newsletters are managed on an e-mail server configured to handle subscription lists. I’m in the process of upgrading this service to handle much larger subscription lists as well as volume, because I’m planning to offer this as a service to my clients who also have large subscription lists that require sophisticated management. However, the mailing list for this newsletter IS NOT on my e-mail server.

This mailing list is managed through Microsoft Outlook on my main computer, and this is done on purpose for a few reasons. I want to use the same tools that you could be using to manage your own mailing lists on your own computer. I’m also better able to manage details of the mailing list through Outlook than from the e-mail server.

Q: What is a blog?

A: This was a question in reference to my own blog for this newsletter. A blog is like an online journal. Use of blogs goes back before the Internet was established, and had been called “Web Logs” instead of blog. Modern use of blogs expands well beyond just being an online diary. Also, creating and managing blogs have become very easy to do now. Many blogs have become extremely popular, which has drawn more interest to blogs.

Blogger.com (http://blogger.com) is arguably the most popular place for blogs, and I have two of my own blogs there, which are:

Q: How do you get to be good at the Internet?

A: The simple answer is to keep surfing the Internet. The more you use the Internet, the better you will get. There is a more detailed answer when it comes to conduction business in the Internet.

There is a marketing theory called “Infinity Marketing.” This theory basically states that any product or service will find a consumer if it is presented to an infinite number of potential customers. The Internet is the first business tool that could allow a business to reach an infinite number of potential customers around the world with lower costs compared to other forms of marketing. E-mail is by far the most used service on the Internet, which is one of the reasons why I’m publishing this newsletter for you.

Q: What can’t my wife come to America after I married her?

A: For the new readers, I regularly receive personal questions, which should indicate how close the readers on this mailing list are to me.

Marrying my wife is not an instant ticket for her or anyone else to come to America. We are in the middle of processing my wife’s K-3 visa, which usually takes a year to complete. We’re doing everything we can to speed up the process, and we’ve already been successful in shaving off a few months. Our original date for her to come to America was November 2007. Now, it looks like she will be here by no later than August 2007 or even as early as May 2007.

WHAT YOU CAN DO WITH E-MAIL THAT YOU CANNOT DO WITH YOUR BUSINESS STATIONERY

The Internet has changed the way we can do business in more ways that most anyone can imagine. However, we tend to get stuck into doing business as it has been conducted before the Internet. I had taken a business writing class in college that taught me the proper way to write business letters, memos, etc, which I had implemented in my business communications ever since. You have probably followed a similar path in your own business communications, and there is absolutely nothing wrong with that. The difference now compared to what I was taught in college is the Internet and e-mail.

It has been ingrained in our heads to keep business communications brief and to the point, because we have been impressed for years of what is proper and professional. We are taught to communicate on paper, and the paper itself limits what are able to communicate. Your business stationery doesn’t allow for much more than two or three paragraphs of information after the letterhead, address, signature and other miscellaneous items are added. We are literally communicating within a box, which is the shape of your stationery if you haven’t notice. What you need to realize is e-mail doesn’t have a box to limit itself. In other words, it’s you should “think outside of the box” with your business e-communications.

This newsletter is a perfect example of breaking traditional business communications barriers. This newsletter would be six to seven pages if printed out. The information I’ve provided here could never fit on one piece of stationery. There are no such restrictions in e-mail. I have devised a strategy that capitalizes on this freedom, and the foundation of this strategy can work with anyone.

I have compiled dozens of form letters using a word processor and I’m constantly updating them. These form letters range from a brief introduction of my company and services to incredible amounts of information on products and services that I offer. I use these form letters to respond to just about any situation I encounter.

Some of you may already have a library of form letters for your business. If you don’t, then you should start building your form letter library right away. Whether you have a form letter library or not, you should look at your form letters from a perspective outside of the box, because your e-mail is no limited to eleven inches of paper.

You should at least have a form letter describing your business or service. You could add as much information as you need to support your business since you aren’t limited to space. A very good idea is to include some testimonials from your customers. Once you have this form letter ready, you can cut-and-paste it into e-mail in a matter of seconds. Imagine the reaction of your new prospects when receiving such e-mail compared to not receiving anything at all from you.

As an example of how far you can go with form letters, I’ve included one of my form letters concerning Apptomix towards the end of this newsletter. You will notice that it is very detailed with lots of information in it, and I’m constantly adding to it. I usually delete most of the content down to what I believe would interest the prospect before I send the e-mail to them. This way, it takes me about two minutes to provide the quality information that I want my prospect to have instead of three to four hours in creating it from scratch. This format and strategy is far from the traditional sales letter format that I was taught in college business communication class, but it is extremely effective.

I’m sure that I will be receiving a lot of questions on this subject, and I’m looking forward to hearing from you. I’ll be honest to tell you that I have had my share of failures, and almost all my failures had been with small business clients. I’ve analyzed the failures over the years to find out what goes wrong. It comes down to falling short of enough resources to succeed online.

Money is not the problem, but usually ends up as the reason why many small businesses abandon their Web sites and others don’t go forward to build one in the first place. I’ll be honest to tell you that it could cost a lot of money to build and maintain a successful customized Web site. However, my successful clients don’t mind spending the money on their Web site because they’re making a whole lot more from it. Like I said, money is not really the problem. The problems lie between where my new clients start at and where my successful clients are now.

A common issue with many of my small business clients is thinking that just having a Web site will make them successful on the Internet. Yes, a Web site is an important part of what will make you successful online, but not just any Web site will make you successful. You need a Web site that will extend your already successful business strategy.

You know your business better than anyone. You know what will make you money and what will be a waste of time. You know that spending money on a Web site just for the sake of having a Web site is an expense of time and money that you could use for things that will actually make you money. If you’re going to have a Web site then it must provide a positive benefit to your business. In other words, your Web site needs to be a tool for your business.

SMALL BUSINESSES NEED THEIR WEB SITE TO BE
A POWERFUL BUSINESS TOOL…

A small business Web site need to have lots of features, functions and flexibility that will allow you the ability to discover what will work for you. You need the capability of easily modifying and maintaining the Web site, and preferably to do it yourself. You need promotion tools to help you find new customers and keep in touch with existing ones. You need something that will help you reap the rewards that only the Internet has to offer. The downside of all this is translating what you know will be successful into a successful Web site.

The big problem is taking what you know and having a Web developer create a Web site that will generate success. Just like your business, it will take some time and creativity to develop a Web site that will be successful. This usually translates to spending a lot of money before you find the right formula. More often than not, the resources of a small business fall short of obtaining online success. Frustration, anguish and failure from all this is usually blamed on the Web developer (I know this very well) and any further thoughts of going online will seem ridiculous. This creates another problem.

Would you take a customer knowing that they will be mad at you in a couple months? You wouldn’t if you had a choice. That’s why good Web development companies will steer away from small businesses and especially start-ups. They don’t want to deal with the headaches of failure when their customer’s Web site doesn’t meet expectations. This leaves small business owners with fewer choices for good Web development service. We have quite a few new readers from the referred subscribers, new clients and some friends that I had forgotten to add to the original list. I want to give you new readers a warm welcome and tell you what to expect from this publication.

This is a newsletter on how to make your own electronic newsletter. More accurately, it’s about how to utilize e-mail marketing to benefit your business. This newsletter is sent to a very small and private mailing list. This publication has already generated a few good business referrals from my readers in less than a month, and it cost me nothing but my time. I want to show you how to do this yourself.

The information I want to give to you is not about spamming, but completely the opposite. What I will show you could generate more business for you with less (or no) money than virtually any advertisement or marketing strategy you can think of. I publish this newsletter each week with tips and information on how to do this, and try to keep the reading to about 10 minutes. Best of all, it’s free! Answering questions in a newsletter is an excellent way to provide very informative content to your newsletter readers. I encourage all of you to send me your questions, and I will gladly answer them in my future newsletters. Thanks to your input, this Q & A segment is a permanent fixture to this newsletter.

Q: What’s with the advertisement in your newsletter?

A: As I mentioned in last week’s Q&A, most everything that I’m doing in this newsletter is intentional. I placed the advertisement in key areas of this newsletter as an example of how you could do this yourself. The advertisement itself is carefully designed to be deceivingly simple. A big catchy headline followed by contact information. Even the center justification was planned, because it draws the reader’s eyes to the advertisement from the regular content.

The intention of the advertisements was not to sell you on my services, but to demonstrate how to do this in your own newsletter. I have received a few business referrals from my newsletter, so perhaps they’re working better than I intended.

Q: What makes your (e-marketing) technique better than spamming?

A: Putting it bluntly, spamming doesn’t work if you are intending to operate a legitimate business. The only way spamming works is if you send to literally millions of e-mail addresses and you intend to rip off those who respond. There will be one sucker out there that will respond to anything if you send enough e-mails to find him or her.

Perhaps the most popular spammer is the guy who is selling prescription drugs online. The guy actually sells NOTHING! He has a fake Web site that is used to collect credit card information from those who are naive enough to fall for it. He drains the credit cards, gets booted from the hosting service and shows up on another hosting service, which he pays by using credit card information that he had previously stolen. People like that make it very difficult for others who attempt to use e-mail marketing for legitimate purposes.

My technique utilizes common sense strategies developed even before Al Gore invented the Internet. Collecting contact information from a customer is a timeless function of any businessperson. Simply speaking, I take such strategies and add the Internet to make it easier, better and cheaper to do business. Most important, my strategy works.

Q: How long have you been working on Web sites?

A: I’ve been working on Web sites and in the Internet industry for about ten years now, which is a very long time for this industry. My computer background goes back much further than that.

I grew up around computers more or less like kids do today. My Dad was head of the electronics department at Victor Valley College and was “Dr. Dan the TV Man” for those of you who have been in the Victor Valley long enough to remember Harley’s Electronics. That in mind, I’ve been around electronics and computers all of my life.

My first computer was an Apple II serial #528, which was literally one of the first personal computer ever made. I still have the computer and it still works. I used to play games on it until I got bored and decided to tweak a stock market game so my stock prices would increase faster. I was only eight years old at the time, but I was hooked on computer programming from that moment on.

Q: Do I really need to have an e-newsletter to promote my business by e-mail?

A: Absolutely not, and this is why I’m changing course slightly on my articles to talk about e-marketing strategies other than an electronic newsletter publication. The reader who brought up this question had some very good points about why an e-newsletter may not work for his business. I still believe an e-newsletter would be good for him, but I also believe other e-marketing strategies would work even better.

Q: What is my wife doing in Vietnam right now?

A: I really appreciate the questions about my wife, and please continue to send me more. My new wife is my favorite subject in the world to talk about.

Currently, my wife is in Hanoi and staying at her parent’s house. She is waiting for my uncle to arrive from the U.S. with a box of cosmetics that my Mother had collected for her. Those Max Factor and Revlon cosmetics that you ladies may use regularly are worth more than their weight in gold in Vietnam. My wife has figured a way to make some very good money by selling the $3 cosmetics from here for $20 or more over there. My wife is also boning up on eBay and is securing suppliers for items she intends to sell through eBay.

The secret is now out… I didn’t marry my wife just for her looks… She’s going to make a mint the when I get her over here.

PROPER E-MAIL ETIQUETTE AND HOW TO USE IT TO PROMOTE YOUR BUSINESS

This is called an electronic signature. Now, look at your own e-mail correspondence. Do you have an electronic signature at the bottom of your e-mail? Most of you do, but some of you don’t. Those of you that don’t are wasting a great opportunity to promote your business and your Web site. Those of you that do will receive an A for the day.

There are several good reasons why you should use an electronic signature for all of your business e-mails. In my opinion, the two most important reasons is professionalism and credibility. Other important reasons is to provide all of your contact information to you recipients in case they need to get a hold of you, which is especially important if you are in a sales related profession. There is a marketing related reason for electronic signatures that even I forget to capitalize on. To understand this, I need to breakdown the elements of an electronic signature.

Electronic signatures should be in a format similar to the following:

Your Name

Position

Company

Web site address

E-mail address

Phone Numbers

Company slogan or advertisement plug

Note that my electronic signature is missing the last element, and I should know better. My electronic signature should look more like the following:

Why? It’s because I have an opportunity to capitalize on free advertisement. An E-mail that you send with an electronic signature can promote your business and your Web site. Adding That one extra line at the bottom of your signature is probably meaningless to most who read your e-mails, but it could create a new business opportunity that cost nothing to you. Q: What are Apptomix and MenuPromote?

A: Apptomix and MenuPromote are Web site solutions that I represent as the business development manager and sell directly from time to time. Apptomix has been developed for over seven years to fulfill the needs of small businesses going online for the first time or wanting to transition from a failed Web site. It is packed with a lot of features that makes it much easier for those who have never been online before to get online, grow and then succeed.

MenuPromote is a spin-off of Apptomix that is designed for restaurants and food service companies. The e-commerce system is designed to sell food and the e-marketing features are designed to better serve restaurant marketing strategies.

About half of the readers here are my Apptomix or MenuPromote clients.

Q: How come your newsletter is just text?

A: Most everything that I’m doing with this newsletter is intentional including using plain text formatting. This is to demonstrate that publishing an electronic newsletter does not require elaborate graphics templates or advanced technical knowledge. Also, using a text only format assures that all of my readers will be able to read my newsletter no matter what kind of computer or Internet access they have.

Q: How long does it take to create your newsletter?

A: I had published as many as six newsletters at one time, and they usually require less than an hour of my time to publish weekly. My other newsletters have HTML formatted templates, which the template takes much more than an hour to create. Once the template is created, it’s just a matter of copy and paste articles into it and pressing the send button. The template is reused indefinitely until I figure it’s time to update it.

Q: Do I need a Web site to have an electronic newsletter?

A: No you don’t need a Web site. Apptomix and MenuPromote have a built in e-newsletter publishing tool and a built in e-greeting tool, which could confuse those of you who don’t have either of the Web site solutions. You will have to be a little more technically inclined to publish e-newsletters if you don’t have Apptomix or MenuPromote, but it’s not that difficult. I’m doing this newsletter to teach you how to do this anyway, so let me know if you need more help.

Q: When will you wife come to America?

A: This was the most asked question, and this should tell you how careful I was in choosing who will be on this mailing list. You all are friends and know or at least know to ask about this part of my personal life.

The answer is as early as May or as late as August of this year. The Los Angeles immigration office approved my wife’s visa about a month ago. I’m in the process of collecting the paperwork for the second phase, while my wife is currently in Tuyen Quan (her hometown in North Vietnam) collecting the necessary paperwork for her interview at the U.S. consulate. Everything is flowing much faster that expected, which is a break that my wife and I earned a few times over.

AN INNOVATIVE WAY TO BUILD A SUBSCRIPTION LIST

Last week I showed you how to develop an excellent mailing list of your best customers. Now I need to tell you to handle that list like it is gold. Manage it very carefully and treat it as if everyone on the list is a VIP. If you deem it necessary, send your correspondence to that list individually and not as a group. Sending e-greetings individually as I shown you last week is a good example of how to use that list. You may expand that list, but make sure it is no bigger than you can manage with the utmost care. By the way, you are on my “golden list” as I call it, which is why you’re receiving these newsletters.

The newsletter mailing list will be a different list from your golden list that will be just as important to properly manage, but not necessarily as if it was gold. With persistent effort and a little luck, your newsletter mailing will grow to be enormous and you will use automated services to manage it. It could take a while before you build up a respectable number of subscribers, so be patient and try not to be discouraged. Actually, it could be fun to build a subscriber list with a method I devised.

First of all, if you have a Web site then make sure you have provisions for people to subscribe to a mailing list. Apptomix and MenuPromote clients that feature is built in. That is the start of a pipeline of free advertisement and promotion for your business. Don’t be in despair if you don’t have a Web site, because my method doesn’t require one.

We all collect business cards from our customers and prospects. Instead of saying thanks for the business card and immediately pocketing it, you should review the card to make sure it has an e-mail address on it. If there isn’t one, then ask for it. If there is one, then ask if the e-mail address is correct. Now, we get to a delicate part.

Once you verified the e-mail address, ask the person if he wouldn’t mind being on your private mailing list to keep them informed on issues related to your business. Your approach might initially fail miserably until you’ve found the right thing to say that will convince people to say yes. However, you will probably find more people saying yes by just asking. When they agree to be on your mailing list, write ADD TO MAILING LIST in big letters on the back of their card so you will remember when you update your electronic address book. A similar method works with phone contacts too. Always remember to ask for an E-mail address when obtaining contact information over the phone, and always ask to be on your private mailing list. .

I want to emphasize the term “PRIVATE.” Your mailing lists are private because you will never share your mailing list with anyone. Not even with your own Mother. Always keep that in mind, and always describe your mailing lists as private when asking to be subscribed to it.

This method of obtaining subscribers may seem like a lot of work, but is actually not. You’re simply adding a few more steps in how you collect contact information. It is also very effective. You could realize 70%-80% positive success by just asking for people to be on your PRIVATE mailing list. By comparison, Web sites usually see close to a thousand visitors before receiving just one subscriber.

Those of you who are concerned about spamming issues don’t need to worry. If you asked a person to be on your private mailing list and they agree, that is just as good as if they subscribed from your Web site. There is another part that assures you are spam compliant, which will be covered later.

An important note before I close this article. DO NOT USE YOUR SUBSCRIBER LIST YET. Just work on building up your subscriber list and wait till next week for more information when I will cover some key elements you will need in your e-newsletters and even your regular e-mails.

This week I will tell you how build a great mailing list with what you already have. First, let me point out a few interesting statistics for you to think about.

Last week’s stats:

Number of recipients on mailing list: 30

Number of successful deliveries: 29

Number of phone responses: 2

Number of e-mail responses: 2

Percentage overall response: 13.33%

Total cost for campaign: $0.00

From a very small mailing list, four of you responded and I even received one business referral to boot. By comparison, I would have to send out 1,000 post cards at $0.24 each to receive two responses, based on the standard figure of 0.2% response rate for a direct mail campaign. The two responses would have cost me $240 in postage or $120 each, while the four responses and one business referral cost me NOTHING but my time.

Also, the post card would have enough room for a nice picture on the front and possibly a half of a paragraph of content on the back instead of two full articles plus some dressing that was in last week’s newsletter. Let’s not forget the cost of artwork and layout for the post card, where there were no such costs for my newsletter.

I’m not saying that you should dump your existing direct mail campaign, because there are situations where direct mail is more effective than e-marketing. I am saying that you could be throwing away business if you don’t do e-marketing. I hope this week’s information will give you the knowledge you need to capitalize on business that has been getting away from you.

BUILD AN EXCELLENT MAILING LIST WITH WHAT YOU ALREADY HAVE

The strategy I have to build an excellent mailing list is so simple that I’m almost ashamed to write an article about it. Before I get into the meat of the explanations, I need to give you some categories to identity what you and your business does.

Your business has at least one of the following:

1) Consumer generated revenue

2) Business-to-Business generated revenue

3) Professional services generated revenue

4) Specialty service or specialty product driven revenue

Your business:

1) Has a custom Web site

2) Has an Apptomix or MenuPromote Web site

3) Doesn’t have a Web site

I will break down the explanations based on the above categories when needed.

The excellent mailing list that I’m talking about is your own existing clients or customers. They’ve already conducted business with you, and already consider you to be an expert in your field at least to some extent. That relationship that you’ve already established is much more valuable than anything you can receive from someone subscribing to your mailing list through a subscription box on a Web site. They are already your customers who will more easily conduct more business or refer business to you than someone you may not know from a subscribed mailing list. Also, you already have their contact information.

If you were forward thinking enough, you would already be collecting e-mail addresses from your customers. If you’re not, then there’s several easy ways to obtain it. If you think I’m walking you into spamming your customers, I will assure you that I’m not and I will explain later how you will use this mailing list without spamming.

Odds are that you already receive e-mails from some of your customers, which makes it easy to collect e-mail addresses. You can simply copy it from a previous E-mail if it isn’t already in your electronic address book. For my Apptomix and MenuPromote clients, you have a mailing list manager built into your Web site and you can add contact information into. For everyone else, you can save the information in your electronic address book, such as in Microsoft Outlook Contacts, or save it in a notepad file.

If you don’t have an E-mail address for some or many of your clients, it’s a matter of simply asking them for it. Consumer businesses can make sure you ask for an E-mail address when preparing invoices or billing statements. Other businesses can directly call your customers for it, which could also be an opportunity for up selling or ask for business referrals.

You could obtain hundreds of e-mail addresses in a very short time with some persistence. However, it may not be necessary obtain all that many. In fact, it would probably be best to focus on your best customers and limit the number of contacts to, let’s say, no more than fifty. You will see why when you begin to use this mailing list from the information I will give you in the next article.

One last thing before I start the next article. Add me to your mailing list. I will not only be your first fan of your e-marketing campaign, I will also critique your campaign from time to time for free to help improve your performance.

I’VE GOT ALL MY BEST CUSTOMERS ON A MAILING LIST. NOW WHAT?

If you followed what I told you in the previous article, you will soon have a valuable mailing list of your best customers and may also be thinking that I’m about to show you how piss them off and have them run to your competitors by sending them spam. Actually, you’re going to do the exact opposite. You’re going to thank them for being your best customer, and you can do this for free thanks to the Internet. This is another piece of advice so simple that I’m almost ashamed I’m writing an article about. You’re going to send an electronic greeting card.

There are hundreds if not thousands of electronic greeting card services on the Internet with most of them offering at least some of their cards for free. Apptomix and MenuPromote clients, you don’t have to worry about finding an electronic greeting card service, because you have that service built into your Web site. For those of you who don’t use Apptomix or MenuPromote, following is a list of services for you to choose from:

These services will keep you from spamming, because you are restricted to sending one greeting at a time with some of the services limiting a total amount for a day. This is also why I suggest limiting your mailing list to a manageable number of your best customers. To make things easier, you can prepare your greeting card content in a word processor or notepad and paste it into the greeting card system when needed. The task could still be tedious after a couple dozen cut-and-pastes, but you’re saving $0.29/greeting and your greeting is delivered immediately to your customers.

Your customer can receive a thank you e-card, which is far more appreciated than spam. Odds are that you haven’t shown such appreciation enough with your customers, because of the time and cost of doing the same through regular mail. You can imagine how your customers will feel knowing that you are so thoughtful. Actually, you don’t have to imagine, because most of the e-greeting services have provisions to track receipt of the greetings. What’s touching to me is when someone is thoughtful enough to send a greeting back to me.

The hard part of this is being persistent. Don’t stop at sending just one e-greeting, but send e-greetings regularly. Twice a month and holidays is usually sufficient to let your customers know you’re there and not overwhelm them with your gratitude. Most all the e-greeting services have ample selection of free cards to rotate through and their paid services are usually pretty cheap if you desire more of a selection. American Greetings through Yahoo! Charges only $14 for a one-year subscription.

Statistically, you could receive one or more responses for every twenty e-greetings you send. You’re also able to track receipt, which you could use to determine an opportunity for a follow-up call. If at the least, your customers will feel appreciated with your thoughtfulness. I know that means more than a pot of gold for a few of you. By the way… Check your e-mail for something special from me.

I too am guilty of not capitalizing on e-mail marketing for my own business, despite recently taking several courses to enhance my already advanced skills. It’s time that I put my money where my mouth is and you get to benefit from it.

WHY ARE YOU RECEIVING THIS?

You are a client, associate, a friend or a combination whom I’ve discussed to some detail about publishing your own e-newsletter. Some of you had taken my advice and are already doing this successfully. Many of you have not, and I’m hoping to convince you to do so by educating you through my own e-newsletter published specifically to teach you how to do this yourself.

I’ll admit that I have cheated a little in putting this mailing list together. EFFECTIVE E-MAIL MARKETING LEADS TO THE POT OF GOLD

E-mail marketing is simply defined as utilizing E-mail to market your business and/or Web site. You’re probably thinking that e-mail marketing is spamming, which we all have had experience with. That is only one form of e-mail marketing and also among the worst marketing strategies anyone could do.

Spamming is irritating, annoying, unethical, damaging to one’s credibility among many other things. Most important is spamming just doesn’t work. The spam we’re familiar with and receive everyday requires millions of recipients to generate just a handful of responses. On the other hand, e-mail marketing performed correctly can generate many responses from just a handful of recipients. Done right, you can generate more business and build credibility. Done wrong, you receive the opposite.

Did you know that a return visitor to a Web site is six top ten times more likely to conduct business than a first time visitor? Did you know that a well-managed e-mail mailing list could generate 5% or even as high as a 10% response rate? These two statistics are key reasons why e-mail marketing is very important for a business. Another important reason is the cost, which is FREE!

Effective e-mail marketing could be as simple as a follow-up e-mail to a new customer or as elaborate as a full-blown e-newsletter. The important point is that you can generate more business that cost you nothing but your time. If done right and you’re persistent at it, e-mail marketing could be all you need to generate as much business as you can handle.

A friend of mine sends jokes and trivia to his mailing list every weekday morning. With exception of contact information, his e-mails never directly promote his business. He receives most all of his business for the day from his customers responding to the e-mail from that morning. It cost him nothing but his time for that business. If you’re not doing something like this yourself, then you need ask why not because you’re throwing away business by not doing so.

There are some legitimate reasons why you may not have done any e-mail marketing. One good reason is you simply don’t know how. I’m hoping to solve that problem through this newsletter, which I hope will translate to generating more business for you.

Hi Everyone!

Ha and I are finally in Saigon. Lots of things have happened since the last time I wrote, but I haven’t had much time to write about it. My Internet connection is currently through my cell phone, which can get a little expensive. I will need to make this short and sweet.

Everyone here is doing good. Ha and I are getting excited about celebrating our first Christmas together. We both wish everyone a wonderful Christmas.

A Whole Lot of Nothing…

Hi Everyone!

It’s been a little over a week since I’ve written, and I should update you on what’s been going on here in Hanoi, Vietnam.

There’s not much new news since last week. I’ve fallen into a daily routine, which doesn’t change much, and I’ve already seen as much of Hanoi as there is to see. Most of my time is spent trying to repair my technology so I can get back to work. I’ve posted the few important items into their own blog posts for easier reference.

Marital Bliss and Technology Abyss

I had setup several systems that would allow me to continue working while in Hanoi. Everything worked great just before the wedding, but fell apart sometime during the wedding day. Some of you asked how I had setup to work remotely, so here’s the details of what I used to work remotely and why it doesn’t work now.

GoToMyPC.com
Perhaps the most important task is accessing my computers back home. Doing so will allow me to perform about 80% of my work. I had setup GoToMyPC.com (http://GoToMyPC.com ) because I had thought that I would travel more than I have, and I might use Internet café computers instead of my laptop from time to time. The monthly service charge is a little steep, which is about $20/month to access two computers. I could have used PC Anywhere or other remote access software to perform the same task and save some money. On the other hand, the system was very easy to install, easy to use and has been about the only thing that didn’t break down on me while in Hanoi.

Skype
Ha and I have used Skype (http://skype.com) to chat with each other for months. Skype is a glorified instant messenger service, like AOL and Yahoo Messenger. Skype uses the latest VOIP technology, which makes for very high quality audio and video chats. Skype has services that allowed me to make and receive calls while in Hanoi at very reasonable rates and with very high sound quality. I was making calls through Skype to friends and clients who thought I was still in America. Everything worked great until Skype decided to block my account.

It appears that Skype thinks I stole my credit card, and I’m making calls from Hanoi with it. I have spent the past few weeks trying to convince them otherwise, but have been unsuccessful so far. I have a backup system for outgoing calls, but the sound quality is very poor. Long story short, I’m unable to call my clients from here and must rely completely on E-mailing them.

Computers at Home
I became impatient while trying to fix all the technical problems that I was having and overloaded my main computer at home. Murphy’s Law ruled the day, because the crash happened on a Friday night and there would be no on around my house until Monday morning to reboot my computer.

Internet Services

What really shut me down was something that would cause problems even if I were still at home. The E-mail server I use through my ISP service crashed and the problem hasn’t been fixed yet. Much of my outgoing E-mails are not delivered, and I’m not sure if I’m receiving all of my incoming mails. Those who have AOL E-mail addresses are probably not receiving my E-mails because my E-mail server has been banned by AOL.

Time Zone
The one non-technical thing that is tripping me up is the time difference. The work day here in Vietnam starts about the time the work day in California ends. This causes a problem when I need to call clients back home. I have to get up very early in the morning or work very late at night to make calls at a decent hour in California.

All these problems amounted to a lot of work just to get me back in operation. Fortunately, I’m quite technically inclined and very resourceful or I would be unable to work until I returned to America. With a lot of patience and a little luck, I should be able to crawl my way back to some level of productivity in a few days.
